What sets TIMS apart from other systems are the features that allow you to announce, schedule, and track all training classes for your department, all from one centralized system. All of the standard modules listed below are included with your monthly TIMS subscription.
Standard Modules
Training Manager: This fully integrated module allows you to enter all training classes and set up each one to show when and how often it is required. Helpful reports alert you to upcoming or past due dates to ensure compliance and reduce your agency’s liability.
Administrators can track each individual’s progress toward achieving each rank or level, as well as review their record to assure each individual has completed all mandatory training classes. Individuals in the system can view their own progress toward current goals, and see what requirements still need to be fulfilled to maintain current status or achieve the next rank or level. Once training courses have been completed, the date of completion can be logged into the system to maintain documentation of each employee’s training history.
Administrators can also use the Training Manager module to keep a list of trainers, their contact information, and their training class history.
In addition, the Training Manager module allows training staff to:
- Provide a path that personnel can follow to achieve the next rank or level
- Call out prerequisites for each training course or level, and specify courses as required or optional
- Displays how many individuals have not taken mandatory training classes
- Sort and filter data to determine which courses need to be scheduled
Scheduling Calendar: With TIMS, you have the ability to post and schedule training events, classes, and recertification dates, as well as reserve resources via our integrated, feature-rich calendar and scheduling program.
The status of all the month’s training classes can be determined at a glance using the color-coded calendar or scrolling text list.
Administrators and users can view and print their own schedules and a list of upcoming events in several different formats. Each event may also be viewed or printed on a summary page that includes headshots of all personnel scheduled to attend, easing the burden of identifying everyone that should be present.
Administrators can choose to send training notifications to all personnel via email and/or text. Employees can schedule themselves for the training classes. TIMS also allows you to “repeat” training events and save ongoing training events as templates for future use.
Prerequisites can be called out for each training course or level. As an option, personnel can be restricted from signing up for a course if they have not yet met the prerequisite.
Training Plan Manager: Administrators can set up a training plan to provide a path for each individual to achieve their desired or required level or rank. The plan can list all training courses and certifications required to attain their goal and track their progress.
Training levels can be established and the training courses required for advancement to each level can be set up, providing a path an individual can follow to achieve the next rank or level.
Once an individual completes a training course, the date of completion can be logged into the system to maintain documentation of each employee’s training history.
Each person can view the progress toward his or her current goals and what requirements still need to be fulfilled to maintain his or her current status or achieve the next rank or level.
Training Certificate Upload: Allows Training Managers with TIMS administrative access to upload training certificates to their individual(s) TIMS user accounts. From there TIMS users and administrators may view and/or print certificates.
Training Year to Date Budget Tracking: As you create and enter training classes into your TIMS system you may enter a dollar amount for each class as well. From there you can enter your beginning fiscal year training budget amount and each time a person(s) takes a class, TIMS will automatically subtract the amount of the class from your annual training budget so you know at all times how much budget and dollars you still have available for the current fiscal year.
Track Training Classes by Mandate: TIMS allows you to enter as many “mandating agencies” your agency may be regulated by to then assign those mandates to your classes as needed. Most common regulating agency is your states POST, Police Officer Standards and Training. Some states such as Texas will refer to this as TCLOE, Texas Commission on Law Enforcement. Some agencies may have federal training requirements as well from FEMA, DHS, DOJ, etc. Via your TIMS Admin Control Panel you may create as many individual fields as you’d like to show in your individual personnel’s profile for those individuals to then enter for example their POST ID Number. You may then tag the various classes that are required by POST for example to then view just those classes or all of them as needed.
Personnel Manager: With this feature, administrators can view, edit, and search pertinent personnel information, such as email address, telephone number, emergency contact information, date of hire, headshots, or any other statistical data you choose to gather. User registration pages can be customized to display only the information you want to see, including self-defined categories, such as certifications, foreign languages spoken, or special skills. Our powerful search function allows administrators to easily and quickly locate personnel within your organization with the needed skills for training or other situations. The “Personnel Actions” feature allows administrators to record personnel actions, preferences, restrictions, or other notes, as well as log any certificates received and equipment or property issued.
Forms Distribution: Post standard forms online in one secure and centralized location for easy access by your personnel from any device. Common items for TIMS agencies to include are training manuals, maps to training events, policy manuals, course overviews, and approval forms.
Group Emailing: Use this feature to send external emails to all, some, or one of your personnel directly from the TIMS admin module. There is no need to maintain a separate email group distribution list. This feature allows you to contact personnel from anywhere, at anytime, from any web-connected device.
Three Levels of Information Access
With TIMS’s multi-level setup, individuals only have access to the data you allow them to see.
Level One: For individual users. Personnel can only see and edit their own information.
Level Two: For TIMS administrators, typically those in charge of scheduling training events
Level Three: For the “Super Admin”
The Super Admin has all the access of Level Two, but can also add, edit, and delete other admin accounts as needed. In larger organizations, this is typically a department head. In smaller organizations, there may be only one admin in charge, in which case there would be no need for a Level Two admin.
Admin Control Panel Overview
The key to each TIMS system is the Admin Control Panel. This is where all the information regarding your TIMS system is stored, inputted, and edited. From here, your administrators can control:
- The names of groups
- Event template set-ups
- List of other admins (for super admins)
- Defining resources that may be reserved for training events
- Information to display on the personnel registration pages
- Use of standard or military time
- Much more!
Informative Icons for Administrators: Each TIMS administrator screen displays easy-to-read icons to provide a quick view of pertinent information regarding the status of your training schedule, including:
- Number of training events scheduled for the current month, next month, and year-to-date
- Number of training events still open for the current month and next month
