Standard Modules
Scheduling Calendar: ODISS gives you the ability to post and schedule special events, paid off-duty assignments, and supplemental jobs via our integrated, feature-rich calendar and scheduling program.
The status of all the month’s events can be determined at a glance using the color-coded calendar, scrolling text list up to one year in advance, full calendar view, or printable text list.
Administrators and personnel can view and print their own schedules and a list of upcoming events in several different formats. Each event may also be viewed or printed on a summary page that includes headshots of all personnel scheduled to work, helping to ease the burden of identifying everyone that should be present.
Administrators can choose to send event requests to all personnel in the system via email and/or text, allowing them to schedule themselves, or add themselves to the list of persons interested in being considered to work an event. Individuals can sign up for specific tasks using the “Personnel Needs” function, so they know exactly what they’ll be doing. If specific training or qualifications are required to work an event, ODISS allows you to specify the training required and block personnel who do not meet the qualifications from signing up.
To avoid having to continually enter the same event information, ODISS allows you to “repeat” events, such as monthly meeting and multi-day functions, and save ongoing events as templates for future use.
Powerful Tools to Enforce Jobs Rules and Agency Policies: ODISS provides you with a wide variety of powerful built in, easy to use and set up tool to help enforce policies such as how many days or hours an individual can work per day, week, month, etc. ODISS can also prevent individuals from removing themselves from a job IF no one else is signed up to work the job. ODISS can also help you ensure only those individuals that have the specific training or certifications for a particular job have that in order to sign up for a job. These are just some of the powerful tools ODISS offers!
Client Contact and Tracking: Our client contact and work tracking module provides administrators with a single location to enter all pertinent information about your clients, such as company or venue name, key personnel, contact information, and preferences. You also have the ability to tie each event to a specific ongoing client or venue. This feature also allows you to run reports showing the total number of events and hours scheduled to each of your ongoing clients.
Billing and Invoicing: This highly integrated module allows ODISS Administrators to create standard hourly billing rates along with add-on billing rates for items such as Administrative Fees, Vehicle Fee’s, Vehicle Mileage Fee’s, etc. Once entered into the system ODISS Administrators simply highlight the rates that apply to the event and client. From there all the billing information is automatically entered into an invoice for the event from where ODISS administrators may create an invoice, adjust the invoice, update the rates, etc. and easily export into an Excel spreadsheet. This module also allows personnel who worked the event(s), jobs, etc. to verify their hours if you wish them to, thus adding an additional layer of verification for agency integrity.
Hourly Reporting: This feature allows your personnel to log and view their hours and activities performed from any web-connected computer or device. Administrators can view reports in a number of different formats and easily export reports into an Excel spreadsheet.
Personnel Manager: With this feature, administrators can view, edit, and search pertinent personnel information, such as email address, telephone number, emergency contact information, date of hire, headshots, or any other statistical data you choose to gather. User registration pages can be customized to display only the information you want to see, including self-defined categories, such as certifications, foreign languages spoken, or special skills. Our powerful search function allows administrators to easily and quickly locate personnel within your organization with the needed skills to fulfill special client requests. The “Personnel Actions” feature allows administrators to note specific information on individuals, such as schedule preferences or issues with past hours overages.
Training Manager: This fully integrated module allows you to enter any training classes that may be required of your personnel in order to work specific events or venues. You can set up each one to show when it is required to be taken and how often it is to be repeated. You can also easily view reports to alert you to upcoming or past due dates to ensure compliance and reduce your agency’s liability.
Forms Distribution: Post standard forms online in one secure and centralized location for easy access by your personnel from any device. Common items for ODISS agencies to include are maps, off-duty work policies, or forms to be completed after assignments.
Group Emailing: Use this feature to send external emails to all, some, or one of your personnel directly from the ODISS admin module. There is no need to maintain a separate email group distribution list. This feature allows you to contact personnel from anywhere, at anytime, from any web-connected device.
Three Levels of Information Access
With ODISS’s multi-level setup, individuals only have access to the data you allow them to see.
Level One: For individual users
Level Two: For ODISS Administrators, typically those in charge of scheduling paid off-duty assignments and special events
Level Three: For the “Super Admin”
The Super Admin has all the access of Level Two, but can also add, edit, and delete other admin accounts as needed. In larger organizations, this is typically a department head. In smaller organizations, there may be only one admin in charge, in which case there would be no need for a Level Two admin.
Smart Groups for Administrator Access: The Smart Groups feature allows for the grouping of individuals, units, squads, stations, etc., with as many administrator accounts as your organization needs. You are not charged extra for additional admin accounts in ODISS, unlike in other systems.
Admin Control Panel Overview
The key to each ODISS system is the Admin Control Panel. This is where all the information regarding your ODISS system is stored, inputted, and edited. From here, your administrators can control:
- The names of groups
- Event template set-ups
- List of other admins (for super admins)
- Defining resources that my be reserved for events
- Information to display on the personnel registration pages
- Use of standard or military time
- Restrict key data from being changed by users in their profiles
- Much more!
Informative Icons for Administrators: Each ODISS administrator screen displays easy-to-read icons to provide a quick view of pertinent information regarding the status of your off-duty scheduling, including:
- Number of events scheduled for the current month, next month, and year-to-date
- Number of events still open for the current month and next month
